CLIENT & CUSTOMER POLICIES

1. Client Engagement Policy

Purpose

To establish transparent, professional, and ethical relationships with all clients and partner organizations.

Policy Statements

  • All client engagements shall be governed by a written Agreement / MoU / Work Order.
  • Scope of services, timelines, commercials, and compliance responsibilities shall be clearly defined before execution.
  • Aravian Solutions commits to fair, lawful, and ethical business practices with all clients.

 

2. Recruitment & Staffing Policy

  • Candidates shall be sourced through ethical and transparent methods.
  • No fake, misleading, or false commitments shall be made to candidates or clients.
  • Background verification, document validation, and eligibility checks shall be conducted prior to deployment.
  • Client workforce requirements shall be fulfilled strictly as per agreed qualifications and experience.

 

3. Candidate Data Protection & Privacy Policy

  • All personal data of candidates and clients shall be kept confidential.
  • Information shall be used only for recruitment, placement, training, payroll, and statutory purposes.
  • Data shall not be shared with any third party without written consent, except where legally required.

 

4. Payroll & Compliance Policy

  • All deployed manpower shall be paid strictly as per Minimum Wages Act, ESIC, EPF and other statutory norms.
  • Timely salary disbursement, statutory deposits, and compliance filings shall be ensured.
  • Statutory challans, returns, and wage registers shall be maintained and provided to clients when required.

 

5. Service Quality & Turnaround Policy

  • Aravian Solutions shall maintain defined turnaround times (TAT) for recruitment and manpower deployment.
  • Replacement support shall be provided in case of candidate attrition within the agreed replacement period.
  • Client feedback shall be reviewed periodically to improve service quality.

 

6. Training & Skill Development Policy

  • Candidates may be trained as per client and government scheme requirements.
  • All training programs shall follow NSQF / Sector Skill Council / MoRD / Skill India norms where applicable.
  • Placement-linked training outcomes shall be monitored and reported transparently.

 

7. Client Communication & Grievance Redressal Policy

  • A dedicated Relationship Manager shall be assigned to each client.
  • All grievances shall be acknowledged within 24 hours and resolved within 3 working days.
  • Escalation matrix shall be shared with clients for transparency.

 

8. Ethical Business Conduct Policy

  • Zero tolerance for bribery, corruption, discrimination, or unfair labor practices.
  • No child labour or bonded labour shall be engaged under any circumstances.
  • Equal opportunity shall be provided irrespective of gender, caste, religion, or region.

 

9. Replacement & Attrition Policy

  • Free replacement shall be provided within the mutually agreed replacement period.
  • Replacement candidates shall meet the same qualification and experience criteria.

 

10. Government Scheme & CSR Compliance Policy

  • All projects under MoRD / Skill India / CSR programs shall be executed as per respective guidelines.
  • Complete documentation, placement proof, and audit support shall be provided.

 

11. Termination & Exit Policy

  • Either party may terminate services by providing written notice as per agreement terms.
  • All statutory settlements and handover of documents shall be completed before closure.

 

12. Continuous Improvement Policy

  • Policies shall be reviewed annually to improve compliance, service quality, and stakeholder satisfaction.


CLIENT MoU FORMAT

(Between Aravian Solutions Pvt. Ltd. & Employer)

MEMORANDUM OF UNDERSTANDING (MoU)

This MoU is executed on //20__ at __________ between:

Aravian Solutions Private Limited, having its registered office at __________________________ (hereinafter referred to as “PIA”),
AND
_____________________________, having its office at __________________________ (hereinafter referred to as “Employer”).

PURPOSE

To provide trained manpower under MoRD / Skill India aligned programs.

SCOPE

  • Employer shall provide job opportunities to trained candidates.
  • PIA shall mobilize, train and place eligible candidates.
  • Employer shall issue Offer Letters and Joining Confirmation.

TENURE

This MoU shall be valid for 3 years from date of signing.

COMPLIANCE

Both parties shall comply with MoRD, NSDC, EPF, ESIC, Minimum Wages, and Labour Laws.

PLACEMENT TERMS

  • Employer agrees to consider at least ___ candidates per batch.
  • Minimum salary shall be ₹________ per month.

TERMINATION

Either party may terminate with 30 days written notice.
